Asking a customer for money you're owed is nobody's favourite job, so it gets put off and the invoice gets older. WaPay does it for you. When an invoice passes its due date, your customer gets a friendly reminder on WhatsApp with your bank details, so they know exactly how to pay.

Reminders follow a set schedule: the first three days after the due date, the next ten days later, and a final one three weeks after that. A customer never hears from you more than once a week, however many invoices they have open. The moment the invoice is paid, the reminders stop.

Reminders on WhatsApp, oversight in the web app

Reminders go out on their own. You can see where each one is, and step in when you want to.

  1. Send your invoice as normal. Reminders start on their own once it's overdue.
  2. Your customer gets a polite reminder with your bank details.
  3. After the third reminder, WaPay tells you, with a Send reminder button if you'd like to send one more.
  4. Paid another way? Reply PAID and the invoice number, and the reminders stop.

Customers can reply STOP at any time to opt out of reminders.

Payment reminder questions

When are reminders sent?

The first goes three days after the due date, the second ten days later and the third twenty-one days after that. A customer never gets more than one reminder a week from you.

Can I send a reminder myself?

Yes. In the web app, select customers under Payments → Outstanding and tap Send reminder to. After the scheduled reminders end, WaPay also sends you a Send reminder button on WhatsApp.

What does my customer see?

A short, polite WhatsApp message with the invoice amount and your bank details so they can pay by EFT.

Do reminders stop when the invoice is paid?

Yes, straight away. Online payments stop them automatically; if you're paid another way, reply PAID and the invoice number or mark it paid in the web app.

Can customers opt out?

Yes. A customer who replies STOP gets no further reminders.
